A cover letter is a formal document that accompanies a CV/resume when applying for a job. It introduces the resume to the employer. Hence, a cover letter must be written in a way that impresses the employer.
Typically, it showcases the applicant’s enthusiasm for the role within the company/institution and explains why the applicant is an ideal candidate for the position applied for. On the other hand, the employer can assess the applicant’s writing and presentation skills. Incorporating a cover letter increases one’s chances of being called for an interview. Ideally, it should include a request for the prospective employer to respond via a phone call or email. It can be limited to a single page with a maximum of four to five paragraphs. The tone of the letter should be polite while radiating confidence. It should be devoid of spelling and grammatical errors.
A cover letter has a structure that includes:
Header: contact details of the applicant and employer, and the date
Greeting: salutation & addressing the hiring manager by name
Introduction: a brief note on why you are interested in the job you applied for
Body: one to two paragraphs detailing experience and achievements that align with the job requirements.
Conclusion: a concluding segment to express gratitude
Closing: a formal closing with the applicant’s name and signature.
