Presentation is the skill of explaining content or a topic to an audience. It includes speaking to a group, addressing a meeting, briefing a team, presenting reports and proposals, among other tasks. Presentations can be broadly divided into Academic and Workplace presentations. Academic presentations are made in the context of the classroom or academia, whereas workplace presentations are conducted as part of professional needs, such as product launches or client meetings.

The two main objectives of the presentation are to inform and to persuade. Different media can help make presentations effective. Some effective e-media include an interactive whiteboard, Microsoft PowerPoint, iPad, Prezi, and SlideShare.
Structuring the Material and Organising Content
Planning an effective presentation includes structuring the material and organising the presentation content. The following steps can help you carry this out effectively.
- Designing – Many factors affect the design of the presentation. It includes objectives, audience and venue. One should give attention to these factors during the preparation of content for presentation.
- Choosing the main points—This includes defining the main points. A powerful presentation delivers information logically and structurally by building on the previous points and avoiding large jumps in sequence.
- Gathering support information – Support information helps the audience understand, believe and agree with the presentation’s main points. It can be provided in the form of factual data, points of detail or an explanation of the process with the help of diagrams and multimedia
- Introducing—Developing an opening is crucial. One can either capture or lose audience interest in a matter of seconds. Therefore, it is essential to utilise the information to establish a clear foundation for connecting with the audience from the outset.
- Linking—It is important to develop a linear flow throughout the presentation. This is achieved by using linking statements, which send signals to the audience by highlighting the next point in the argument or linking to previous ideas.
- Conclusion—The presentation should conclude by reminding the audience of the main points to leave a lasting impression of its quality.
- Review – The last step is reviewing. Ask yourself the following questions to review your presentation –
- Does the presentation meet the objectives?
- Is it logically and systematically structured?
- Does support material provide additional information?
Audio-visual aids and handouts
Audio-visual aids are essential for an effective presentation. It includes whiteboards and blackboards, interactive boards, flipcharts, slides, handouts, compact discs, films, and multimedia. Aids should fit within the time and budget allowed for the presentation. Identifying aids according to the audience’s preference would positively deliver the message. The size and location of the audience are decisive in choosing audio-visual aids. Flipcharts and computer multimedia without a projector would be helpful for smaller groups. Handouts are suitable for large and small crowds as they summarise the presentation for easy comprehension. Before the presentation begins, it is essential to verify that the necessary equipment and facilities are available and in good working condition. Always use simple and concise language in audio-visual aids. Use charts, diagrams, illustrations, audio and video clips to break complex information into comprehensible chunks.
Audience
The audience in front of the speaker will have various experiences, attitudes, aptitudes, interests and levels of knowledge. A successful presenter should acknowledge this and prepare thoroughly to address this. The following sample questions would help the presenter to fill the gaps that might occur in the presentation.
- How much information does my audience already know about the topic?
- How effective is linking in the presentation?
- What are the persuasion strategies planned, and will they be effective
If we neglect audience needs, we will fail to appeal to their interests, imagination, and attention.
Presentation in Seminars and Discussions
A seminar is a gathering to discuss a stated topic. Good preparation is an essential prerequisite for an effective seminar presentation. So, present those arguments that one fully understands, concentrate on key terms, and practice the presentation several times.
Structure and content of seminar presentations
- Introduction – Introduce yourself, including the topic and the objective.
- Main Part – Present core arguments logically and use audio-visual aids if necessary.
- Conclusion – Summarise the objectives
- Feedback – Gather feedback to evaluate the effectiveness of communication
The seminar participants initiate discussions. Effective use of available time is important during discussions. They are conducted to point out possible extensions of a point, question critical assumptions, or show empirical evidence of the stated arguments.
