Fax is a short form of facsimile. It is a telephonic transmission of scanned-in printed material, text, or images between two fax machines. An exact copy of the document is made by electronic scanning and transmitted as data by telecommunication links. Although faxing has become less common with the rise of digital communication, it is still used in certain industries for sending important documents. Writing an effective fax requires clarity, professionalism, and proper formatting.

- Keep it simple.
- Use brief and concise language.
- Use formal language and avoid slang or casual phrases.
- Send only the most important information.
- Pay attention to the receiver’s business hours.
- Keep the cover to one page.
- Mark CONFIDENTIAL if the matter is confidential.
- Double-check the fax number to ensure it reaches the correct recipient.
- Review the document for errors in grammar, spelling, or information.
- Make sure attachments or additional pages are clearly labelled and in order.
FAX COVER SHEET
Always include a cover sheet to identify the sender, recipient, and purpose of the fax.
-
- Include the sender’s name, company, and contact information.
- Include the recipient’s name, company, and fax number.
- Provide the date and the number of pages (including the cover sheet).
- Write a brief subject line to summarise the fax’s purpose.
